PrimeroEdge Free and Reduced Processing module is a unique, automated free and reduced
eligibility processing solution featuring both application scanning and document
management. Intuitive, user-friendly menus and screens require minimal training.
A simple process virtually eliminates manual data entry and offers a rapid return
on investment. The feature-rich software increases efficiency and accuracy in processing
applications, assigning correct student eligibilities that are sent to the Cafeteria
Manager and the POS cashier station(s). The number of personnel that process applications
can be reduced and turnaround time will be much faster than a manual process. School
districts will greatly benefit from PrimeroEdge Free and Reduced and be able to
provide faster service, high accountability and greater service to the families
of your district.

Scan
Scanning free and reduced applications virtually eliminates manual data entry. As
Meal Benefit Applications are scanned, data and images are stored in the database.
The data will be used for validation purposes and the images of the applications
can be viewed at any time. Each application is electronically assigned a batch number
and an application number for quick reference.
Batches of 25 – 50 applications can be placed in the scanner and a one-click process will
initiate a scan of all applications. Once the applications are scanned, they are available
for validation and processing at any computer. PrimeroEdge automatically recognizes what type
of application (Income, TANF, Food Stamp, and Foster Child) has been submitted from a family.
From one screen you can view the application image and the translated digit application data.
User-friendly messages will prompt the user to review questionable entries enabling higher
accuracy and greater compliance with USDA and state regulations that are built into the software.
The user can make corrections to the data, if needed. As each application is processed, the
student eligibilities are sent in real-time to the point of sale terminals at each school to
ensure that students can use their new eligibility in time for meal service.
Validate and Process
PrimeroEdge automatically recognizes what type of application (Income, TANF, Food Stamp,
and Foster Child) has been submitted from a family. From one screen view application
image and saved application data. The user is prompted to review questionable entries
enabling higher accuracy and greater compliance with USDA and state regulations.
The user can make corrections to the data, if needed. Our automated process speeds
up application processing and approvals. USDA income guidelines and application
criteria are built into the software. Guideline updates can be downloaded from the
Cybersoft website or are sent out annually with the update.
Notify
Notification letters are automatically generated with the touch of a button. The
notification letters are printed from the current batch of applications that have
been processed. Each letters is personalized and printed in the language of the
application used by the family. English, Spanish and other languages are available.
Application Design
As a service and part of the annual update Cybersoft has an in-house team that supports
meal application design for scanning. With many districts across the country using
PrimeroEdge Application Processing our service includes creating meal applications that
meet USDA Guidelines for meal application processing. Choose between portrait or
landscape application design, English, Spanish or other languages as needed.
Application Recognition
Recognizes immediately by information provided which type of application has been
submitted by the family (i.e. SNAP, foster child, income) and determines eligibility
in accordance to USDA guidelines.
Manual Entry
In the event the application scanner stops working, Cybersoft will work with you
to get a replacement scanner to minimize down time. However, applications can continue
to be entered manually to insure the student’s meal benefits are available at their
school. PrimeroEdge also offers Online Application Processing where parents can log
in and apply for meal benefits from any internet enabled computer.
Household
Program participation and revenue is increased by identifying students who have
not reapplied with their siblings. Linking family members with previous application
history PrimeroEdge can identify students who are eligible to receive meal benefits.
Direct Certification and Direct Approvals
PrimeroEdge includes features that enable districts to process meal eligibilities using
Direct Certification imports, Direct Approvals (for example Migrant, Homeless & Runaway),
Principal approval as determined by district official and Temporary Free approval.
Other direct approvals include Headstart, Even Start and Direct Certification.
Direct Certification
PrimeroEdge Application Processing handles students eligible for free meals using the
direct certification process. PrimeroEdge will import the electronic database provided
by your state and validates the DC list against the district student enrollment
matching students declared DC eligible. PrimeroEdge will maintain DC information of
students who may have left the district or have not enrolled yet.
PrimeroEdge will merge family members, populate and print notification letters to eligible
families.
Direct Approval
PrimeroEdge Application Processing simplifies the handling of direct free approvals
including Homeless, Migrant, Runaway, Head Start and others as identified by your
state. Scan the provided supporting document for reference and print the notification
letter to the family.
Temporary Approval
PrimeroEdge Free and Reduced Application Processing processes and tracks temporarily
approved statuses. Expiration of temporary approvals will be flagged for immediate
follow up. PrimeroEdge will create and print letters.
Verification and CRE
Verification samples can be generated by selecting error prone (basic), random or
focused sampling. Applications for cause can be added to the sample at any time.
The selected applicants are notified by a printed personalized letter along with
required verification forms. Verification information is tracked from start to finish.
PrimeroEdge allows verification documents can be electronically scanned and linked to
the respondents file for a complete audit document trail.
Reports
A large collection of reports are built into PrimeroEdge Free and Reduced Application
processing. Reports include student eligibility, student status change, application
processing report, student roster, verification summary, student transfer or withdrawal,
expired approvals, batch cover sheets and audit trail report.
Security
Database information and Application Processing can be limited and controlled by
log in or by assigning permissions by individual for Free and Reduced functions.
